Paper Submission & Evaluation
Papers must be received by Professor Lance Evans by 4:00 PM eastern time on March 7, 2007. There are no exceptions to this rule


Students are encouraged to submit full-length papers for awards. Students are encouraged to have their research mentors help with the process. All full-length papers much be sent independently of all other items to Dr. Lance S. Evans as a email attachment.

For each manuscript, three email messages are required to be sent by the student author.

The first email message should introduce the person and the manuscript title in the body of the email. The entire manuscript should be put as an attachment to the first email.

The second email should attach any and all Tables for the manuscript as an attachment. The author’s names and affiliation SHOULD NOT BE GIVEN ON THE TABLES AND IN THE ATTACHMENT IN ANY WAY. Authors name and paper title should be clearly stated in the body of the email.

The third email should contain the figure legends and figures for the manuscript.

If a paper has no tables of figures, an email should be sent to state this situation clearly. In all cases, three emails are required for each full-length paper submitted.

In all cases the ‘subject’ of the email with the papers must be the first six words of the title.

ALL MATERIALS FOR A MANUSCRIPT MUST BE IN MICROSOFT WORD. ALL ATTTACHMENTS FOR A MANUSCRIPT MUST BE IN MICROSOFT WORD. No other format is acceptable. If other formats are used the paper will not be reviewed. In addition, the author will not be given a second chance to put the materials in the proper format, programs, etc. The evaluation of the judges is final. Awards are presented only to excellent full-length papers at the awards ceremony at the banquet for ECSC.

The type of full-length papers that ECSC judges for awards is the result of a long-standing tradition. By using the phrase 'original research', we have followed the lead of journals in the sciences that publish papers that present (1) testable hypotheses, (2) design experiments to test these hypotheses and (3) then discuss the results of the experiments in the context of previous research. The format of the paper must follow the format below to be considered by the judges.
 
The format of the full-length papers must follow the form below:
Page 1 must contain only   1) title, 2) author’s names, 3) author’s institutions
(the authors name and institution should not appear on any pages except page 1)
Page 2 must contain only title
Page 3 must contain the abstract
Page 4 must start the introduction- the introduction must state the hypotheses if possible
Materials and Methods section must include all materials so that the reader can understand how the experiment was conducted. Materials and methods section must be on separate pages.
Results section must include all materials so that the reader can understand the results of the experiment. This section must be on separate pages.
Discussion section must include the interpretation of your results in relation to past experimentation. It must include the overall goal of the research area. This section must be on separate pages.
Reference section must include a complete and consistent set of references used in the paper.
Tables must be Arabic numbered and in order after the reference section.
Figure legends must be cited at Figure 1, Figure 2, etc.
Actual figures must be submitted last- after the list of figure legends.
If a manuscript does not conform to this format – it will not be reviewed for an award. The response to the submitting author will be something like- ‘manuscript was not in proper format for review’. Students will not be allowed to change the format. No other processing of the manuscript will occur.

The evaluation of paper will be ‘excellent’ and ‘not excellent’ only. Papers are not formally reviewed and comments about the paper are never returned to the authors. The judgment of the judges is final. Papers deemed to be ‘excellent’ will be given awards at the awards banquet. No mention will be made at the awards banquet regarding papers not deemed ‘excellent’.

Time constraints for full-length papers.

The final minute deadline for receipt of full-length manuscripts is 4:00 PM eastern time on 07 March 2007. All manuscripts received after that minute will be returned without review. Manuscripts that are judged must be in the form given. No exceptions to form described will be accepted for review.

As manuscripts are received in acceptable form, an email message will be sent to the address of the submitting author. On the morning of 08 March 2007, a final list of manuscripts that are in the proper condition for review will be placed on the ECSC website. With this protocol, it is imperative that manuscripts are prepared correctly before the initial submission.

The deadline for submission of full-length papers is fixed because there is very short amount of time between the time that papers are received, the time necessary for papers are evaluated and the time necessary for award plaques to be made. Thus, the overall process must proceed without delay.

During the review process, all words that could identify the authors or their home institution will be removed. In addition, any locations such as hospitals, other research facilities will be removed so that reviewers are not biased in any way. Papers are reviewed for scientific content. However, writing in the manuscript is very important.

The Eastern Colleges Science Conference Board of Directors regards full-length papers as the final, ultimate step in the scientific process so it handles them with great care. The degree of scientific excellence of each paper will be judged by a member of the Board of Directors. Each and every Board member pledges to be as unbiased as possible in the evaluation of ECSC matters.
